Summary

The Facilities Services Coordinator is the face of Firefly Aerospace at our Briggs location. We are looking for a friendly, energetic, highly organized individual to provide overall office support for our Briggs, TX. site. You will be responsible for supporting planned (and spontaneous) events, lunches, and investor/visitor tours. This role will also support employee engagement events, managing and upkeep of our office supplies, office seating charts, and other admin functions as necessary. This position requires close interaction with management, other employees, and external parties, therefore interpersonal skills must be a priority. The ideal candidate for this position is someone who can efficiently perform tasks in a group or individual setting, is not easily overwhelmed, and is an eloquent communicator.

Responsibilities

  • Align closely and work with our VP of Marketing, CEO Office, and Chief of Staff to plan and coordinate events and tours across our 4 Texas sites.
  • Organize events and details such as location, décor, catering, logistics, equipment, and promotional materials/swag.
  • Delegate event workload and support work to Office Service Coordinators based on their location and the location of the event.
  • Schedule vendors to perform work, process NDA forms, assist in contract review and help connect vendors to their appropriate onsite contact.
  • Work closely with our Grab & Go vendor Canteen, to resolve employee POS payment and product issues.
  • Assist with planning and coordinating onsite and offsite company events and lunches.
  • Order and manage office supplies.
  • Organize US Mail and packages and ensure delivery to Firefly employees at Briggs.
  • Manage and maintain seating charts for the Briggs location.
  • Create replacement badges for employees and disable badges for termed employees.
  • Take on small projects to assist the onsite executive leadership team.
  • Be a resource to coworkers and visitors and help them with inquiries.

Qualifications:

Required

  • Strong attention to detail and accuracy.
  • Strong time management skills
  • Works well in a fast-paced environment.
  • A “no task is too big or small” attitude.
  • Proactive, adaptable, and self-driven, with the ability to anticipate needs and find solutions to unforeseen complications.
  • Professional level verbal and written communication skills.
  • Ability to prioritize and handle multiple tasks while maintaining deadlines.
  • Must be able to work both independently and as part of a team.
  • Proficient in Microsoft Office products, including Word, Outlook, Excel, and MS Teams.
  • Must be available Monday-Friday from 7AM to 3:30PM CST onsite and occasional overtime.

Desired

  • 3-5 years of experience in an office administrative role.
  • Event planning experience.
  • Strong organizational skills.
  • Passion for Aerospace.
  • Comfortable in a startup and high growth environment.
