ROLE SUMMARY:

The Business Operations Manager works directly for the Chief of Staff and collaborates with all layers of the organization, including the leadership team, to have positive impacts on Firefly productivity and operational efficiency though analyzing current processes, identifying areas for improvement, and recommending solutions for more efficient and cost-effective outcomes. We are looking for an individual who understands the “big picture” of interdepartmental collaboration among all departments, including engineering, operations, production, finance, human resources, and marketing, communicates effectively with technical, administrative, and leadership staff, and places strong emphasis on data-driven process assessment & analysis. The ideal candidate is a driven, creative self-starter, with a sharp eye for detail. S/he will be utilizing data analysis and project management skills, paired with effective & clear communication, to eliminate inefficiencies and streamline processes across the organization. A successful candidate is comfortable wearing multiple hats, often on the same day, and supporting a breadth of projects & initiatives of various importance. S/he can focus while having competing priorities at hand; pivot/adopt a new direction on a project/initiative; organize & document information in a logical way.

ROLE OBJECTIVES:

  • Support the Chief of Staff to ensure implementation of initiatives that improve business processes aligned with company’s objectives.
  • Oversee strategic business initiatives, from development through successful execution, under the guidance of Chief of Staff.
  • Review & assess existing processes and provide recommendations for increasing the efficiency of day-to-day operations & business rhythms.
  • Design & produce data-driven reporting to assess & communicate the effectiveness of various projects & business initiatives.

KEY RESPONSIBILITIES:

  • Monitor, support, and execute on day-to-day business operations & processes, report on performance, and recommend actionable improvement.
  • Assist in creating & maintaining continuous data-driven metrics & reporting on key initiatives, recommend & implement data processing automation where applicable.
  • Collaborate with engineering, production, and administrative staff on cross-departmental initiatives that improve organizational effectiveness.
  • Collaborate with engineering, production, and administrative staff and other stakeholders to monitor the health of strategic business initiatives via gathering information & producing data-driven intelligent insights.
  • Proactively resolve potential roadblocks/create efficiencies by calling them to the attention of the Chief of Staff and identifying potential solutions.
  • Oversee daily operations in collaboration with Chief of Staff, handle inquiries, help develop action plans, and assist with preparation and dissemination of communication.
  • Track project schedules and make sure that projects are being completed on time; in the event of unexpected delays, recommend adjusting schedules as necessary.
  • Keep track of multiple initiatives at the same time without dropping a ball on any of them.

REQUIRED SKILLS & QUALIFICATIONS:

  • Highly organized & detail-oriented individual.
  • Effective listener & communicator, comfortable collaborating with technical and non-technical stakeholders, cross-functional and leadership teams via verbal and written communication.
  • Data-driven – in assessing situations/processes, suggesting improvements, and communicating points of view and information. Able to process large amount of data and produce simple, visual, easy-to understand insights. And use those insights to inform decisions.
  • Self-sufficient – able to roll up the sleeves & get the work done with minimal supervision.
  • Embodies & exemplifies follow-through behaviors.
  • Always curious to learn more – about projects, people, company, and industry at large.
  • Embraces accountability & culture of extreme ownership.
  • Passionate about space (not required but highly preferred as you’ll work with hundreds of space enthusiasts)
  • Passionate about what you do and how your work contributes to the overall success of the organization (required)
  • Ability to thrive in a very fast-paced & changing environment, while assigning priority to incoming requests/initiatives
  • Demonstrable track record of managing projects to assigned deadlines/in a timely manner
  • Excellent focus on follow-through & closing communications loops on assigned projects/tasks.
  • Three or more years of experience in an operational, business management, communications, or project management role.
  • Bachelor's degree in business management, operations management, data analytics, communications, or related field is required. Master’s degree preferred.
  • Proficiency with Microsoft Office Suite of products, data visualization software (PowerBI, Grafana, others), Confluence (preferred, not required), Adobe Creative Suite (preferred, not required).
